Partners are paid in two stages. First, commissions wait out the hold period set in your commission rule, and you approve them. Then a payout run collects every partner's approved balance and sends it through your connected payment provider.

Approve commissions

  1. Open Commissions

Under Money, select Commissions. The Commission ledger lists every entry: earned, approved, paid, reversed and adjusted.

  2. Approve the ones that are due

Select Approve due holds. Every earned commission whose hold has ended becomes approved. A message tells you how many were approved.

Amounts are underlined to show their state: dotted for pending, solid for approved and double for paid.

Approval doesn't happen on its own when you pay by hand. Select Approve due holds before each payout run you create yourself. Scheduled runs approve due holds for you. See Schedule payouts.

Adjust a commission

The ledger is append-only, so you correct a commission by adding a new entry rather than editing it.

  1. Find an earned or approved commission and select Adjust.

  2. Enter the amount in dollars: a negative amount such as -25.00 claws money back, and a positive amount such as 10.00 adds a credit.

  3. Enter the reason. A reason is required.

You don't need to adjust for refunds and disputes your billing provider reports. Referalli records those as reversals, which net against the partner's future earnings.

Send a payout run

  1. Connect a payment provider

Make sure the providers your partners use are connected. See Connect a payment provider.

  2. Create the run

Under Money, select Payouts, then New payout run. Referalli gathers every approved balance that's ready to pay.

  3. Send it now, or later

Referalli tells you how many payouts the run contains and asks Execute now? Select OK to send them. Select Cancel to keep the run as a draft and send it later.

  4. Check the results

The Runs table shows how many payouts were sent and how many failed. The Payouts table lists each payout with its amount, provider, status and the date it was sent.

Send or cancel a run you didn't send

A run you created but didn't send shows as draft in the Runs table, with how many payouts are awaiting execution, and two buttons:

  • Execute sends it. Confirm when asked; the money goes out through your connected providers.

  • Cancel run throws it away. Confirm when asked. Nothing is sent, the run shows as cancelled, and its balances go back to approved, so the next run includes them.

While a draft run exists, the balances in it aren't added to any other run, so a partner is never paid twice. Execute or cancel old drafts before you create a new run, or those partners will be missing from it. If something goes wrong, the message appears above the Runs table.

A run can't be cancelled once any of its payouts has been sent or handed to a provider that confirms later (PayPal, Wise, Payoneer or Circle).

Why a partner isn't in the run

If nobody is ready to be paid, Referalli says how many partners were skipped. A partner is only included when:

  • they're active: not suspended or banned. A suspended partner keeps earning, and everything they earned is paid in the first run after you reactivate them (see Review fraud)

  • they've saved a payout method for your organization in their portal

  • they've submitted a tax form

  • they've passed identity verification, if you require it (see Identity verification and tax forms)

  • you've recorded an exchange rate, if they're paid in a different currency from the one they earned in (below)

  • their approved balance is at least their minimum payout, which starts at 50.00 for a new payout profile and stays as you set it when the partner re-saves their details. You can change it on the partner's page in Partners; see Invite and approve partners.

  • their balance isn't already in a draft run, or in a payout still waiting for the provider to confirm

Exchange rates

If a partner is paid in a different currency from the one their commissions were earned in, Referalli converts the amount at a rate you record. It never uses a rate you didn't record. A partner who needs a missing rate is left out of the run, and everyone else is still paid.

  1. Open Settings

Under Configure, select Settings and find the Exchange rates card.

  2. Enter the rate

Enter the currency the commissions are in under From (e.g. EUR), the currency the partner is paid in under To (e.g. USD), and the Rate: how much of the second currency one unit of the first buys, such as 1.0825.

  3. Record it

Select Record rate. A message confirms it, for example "Recorded 1 EUR = 1.0825 USD."

The card lists every rate you've recorded with when it took effect. Each run uses the latest rate for that direction, so record a new rate whenever you want payouts to use a newer one. A rate from EUR to USD isn't used for USD to EUR. If your commissions are in US dollars, you don't need any rates. Partners choose their payout currency when they set up their payout details in the portal; a new profile is paid in US dollars unless they pick another. Record a rate from each currency you bill in to each currency your partners are paid in, or those partners are skipped with a missing exchange rate.

Only owners, admins and finance members can see and record exchange rates. Other roles don't see the Exchange rates card.

Invoices

Each payout has an invoice link. It opens the self-billing invoice for that payout. Partners can open the same invoice from their portal.
